If you’ve ever signed a wholesale agreement and felt a knot in your stomach three shipments later, this checklist is for you.
I’m the quality and brand compliance manager at a mid-size equipment distributor. We carry laser engraving machines, spare parts, and accessories from a small number of manufacturers. My job is simple: nothing leaves our dock until it matches the spec we promised the customer. That means I review roughly 200 assemblies and part orders a year. In 2024, I rejected about 11% of first deliveries from new suppliers—wrong specs, damaged packaging, documentation mismatches. The suppliers all looked good on paper.

2. Look for a lineup, not a single model
Distributors need to serve different customers at different budgets. A manufacturer with one SKU forces you into a one-size-fits-all pitch, and that’s how you lose deals.
We require three tiers:
- An entry-level system for small shops, schools, and first-time buyers.
- Mid-range equipment for growing businesses that engrave and cut regularly.
- A production-tier machine with a larger work area and a higher duty cycle for high-volume work.

This is the step most distributors skip. They walk trade shows, collect spec sheets, and negotiate pricing. Then a container shows up, and the truth about packaging, instructions, and calibration arrives with it.
So before we signed anything with Epilog, we ordered a single machine the way a normal customer would. No phone calls to let them know who we were. No distributor discount. Just a standard order, placed online.
Findings from that unit:
- The machine arrived calibrated, and the setup guide was clear enough that one of our warehouse staff—who had never touched a laser—had it running in an afternoon.
- The packaging was adequate. Not beautiful, one corner had taken a hit in transit, but the machine inside was protected. That told us the manufacturer understands how freight actually treats boxes.

Ask these specific questions: do part numbers stay stable between model years? Do new accessories work with older machines, or does every upgrade require a whole new system? And when a part is revised, does the manufacturer publish the change and keep the old version available for a transition period?
This is where we got burned by another supplier years ago. They changed mounting bracket dimensions during a quiet revision and stopped making the old version. Customers with existing systems were stuck, and we absorbed the returns. We no longer carry that line.

5. Ask for the test data behind every claim
Per FTC guidance (ftc.gov), advertising claims must be truthful, not misleading, and substantiated with evidence. I apply the same standard to B2B procurement. If a laser engraving machine manufacturer says a system repeats to a certain tolerance, or runs a certain duty cycle, ask to see the test protocol.
Documents to request:
- Published specification tolerance sheets, including how the measurements were taken.
- Sample QA test reports from recent production runs.
- Safety certifications and compliance documents relevant to your market.
- If a supplier claims an environmental benefit—for example, that laser engraving is “greener” than chemical etching—ask for the basis. The FTC Green Guides hold unqualified claims to a real standard. “Probably true” is not a compliance file.
Here’s what happened when we started asking for this documentation: roughly half of our prospective suppliers went quiet. The ones still standing were the ones worth negotiating with. 6. Test the warranty and return process before you need it
A warranty is only as good as the returns process behind it. So we deliberately test it before we need it.
Call the support line with a realistic question and see how long until a human responds. Ask for the RMA form before you need it: what documentation is required, photos, serial number ranges, original invoice details? Then ask how many days a warranty replacement actually takes to ship.
Why does this matter? Because the return process mirrors the manufacturer’s internal quality system. A company that can’t describe its own return workflow in writing won’t do well when your customer’s machine is down and their deadline is tight. A documented, automated RMA process isn’t a luxury—it’s an efficiency advantage for both sides. When we automated our own return ticketing a few years ago, the data-entry errors we used to have disappeared. Plus, a portal doesn’t lose threads the way an inbox does.
Trust me on this one: test the boring process. The boring process is where good suppliers prove themselves.
7. Calculate cost per delivered, working unit—not invoice price
The invoice price is the opening bid, not the final cost. Run your numbers across the life of the machine:
- Freight and packaging quality
- Receiving inspection time per unit
- Firmware consistency across shipments
- Support burden you carry because the manufacturer’s documentation is incomplete
- Rejected units and the return shipping they create
A laser engraving machine wholesale quote that’s 8% cheaper looks like a win until the first batch needs rework. Cheaper on the invoice. More expensive in the long run.
We also track small-parcel shipping costs for accessories, because hundreds move through our warehouse every month. USPS raised First-Class letter postage to $0.73 in January 2025 (usps.com/stamps). Not a huge line item by itself, but when you ship constantly, rate changes are part of your cost model.

A few things that don’t fit neatly into the steps:
Don’t skip the single-unit test. Factory tours are managed environments. An unboxing in your warehouse is not.
Get every claim in writing. Verbal promises evaporate when the person who made them changes jobs.
Count support staff. If a manufacturer advertises “unlimited support” and employs two people for the whole product line, you’ll feel that pinch.
Context matters. This checklist worked for us—a mid-size B2B distributor with steady, predictable demand. If you’re a high-volume online reseller, freight and packaging deserve even more weight. If you’re an integrator building laser systems into production lines, you’ll need to go deeper on software APIs and custom configuration. My experience also comes from US-based distribution; international wholesale involves customs, tariffs, and logistics layers I haven’t managed personally.
